Increasingly, critical documents, emails, records and online discussions must be maintained for years if not decades. Inability to find key documents is no longer a valid excuse in courts of law, as evidenced by numerous legal cases over the past several years. A sound electronic content management strategy is becoming a necessity in corporations around the world. This page was created to provide guidelines on how to create and implement an effective electronic content management vision and strategy. Practical examples of justification and implementation are given.

Management

Electronic content management (ECM) is the capture, storage, retrieval and management of documents, records, emails, electronic communications and other documents created by organizations.

The vision of ECM involves integrating systems, storage, databases, applications like email, data capture, e-discovery, tools such as search, and the provision of services to manage electronic content in a full life cycle manner. An example might include the capture and archiving of each and every email within an organization to be archived in a central repository that can be automatically retrieved based on a key word search.

How does it work?

The impact of ECM is potentially substantial from dramatically reducing an organization’s risk exposure from damaging law suits to cutting the cost of legal discovery to increasing end user productivity by accelerating searches for critical documents.

The implementation of ECM is non-trivial and is typically done in an evolutionary manner. Email archiving and document management systems are logical starting points for organizations with roadmaps that project the integration of disparate systems over time.
